Checklist can contain task generator questions that allow you to generate tasks to track and manage necessary actions within a checklist. You can also review and manage tasks via a checklist to ensure outstanding work is being completed and that work isn’t being duplicated.
TOP TIP: You will not be able to complete these questions or manage tasks without first selecting an ‘Asset' from the Assets drop down menu.
Step 1. Reviewing Tasks
If no outstanding tasks are in place for your selected question, please move on to Step 3.
Tasks can be reviewed directly from the checklist. Next to any Task Generator question, you will see a ‘Review Task’ button displaying the number of linked tasks for the selected asset. If a task has been created for a previous question and has not yet been actioned, then you will be able to see them in the review tasks area. It is important to review tasks to ensure you are actioning outstanding work, and ensure that you are not duplicating work for you and your team. Tasks that are not updated to a status of ‘Complete’ or ‘Abandoned’ will be automatically linked to the new checklist.
- Click on the Review Task Button
- Click the double box icon to open the task in a new tab.
Step 2. Managing Tasks
Once open in a new tab, you can:
- Add comments
- Update task status
- Make necessary changes

Step 3. Creating a New Task
Questions with multiple-choice answers can create a task where action is needed following something that was found. In the example below:
- Answering ‘Yes’ will not generate a task as that is the required state
- Answering ‘N/A’ will not generate a task either as the question is not applicable to that property
- Answering ‘No’ will generate a task as something is wrong and needs resolving
Where a new task is needed, clicking the ‘Add Task’ button will allow you to create one, you must enter the following mandatory information:
- Description

Assignee
- 'Assign to Myself' and 'Assign to Users' provide specific responsibility to the chosen users.
- Assign to Entity - assigns to everyone with access to the property, regardless of role.
- Assign to Group - assigns to everyone in the group regardless of property access. - Task Priority
You are also able to add images as required.
