The assessments section of QUOODA® stores every assessment type for every asset.
Step 1. Select assessments from the menu
Step 2. Find and open the assessment record
The assessments that you have access to will be displayed on a table. You can search and filter the data table to find the assessment you need.
In addition to the standard filters, your view will be filtered by default to show ‘Live Assessments’. For an assessment to be considered 'Live' it must be associated with an asset and the most recent assessment of its type for that asset. You can use the drop-down to look at other assessment types:
- Un-associated assessments – assessments that are not associated with an asset
- Superseded assessments – historical assessments which have been replaced by more recent assessments of the same type for the same asset
Once you find the assessment you are looking for you can click the three dots icon next and preview the document in a new tab, click on the PDF icon to download the assessment, or, click on the row to open the full assessment.
Step 3. Assessment overview
An overview of the assessment will be shown which shows a summary of the key information. Details like assessment type, the asset that was assessed, the assessment date and the current status of any risks raised by the assessment are available.
If you want to view more detailed information, select ‘Open Record’.
Step 4. View the assessment
You will see tabs across the top, each containing information. The tabs available will vary between organisations as custom tabs can be created to record things that are important to your company.
We will not cover every tab here in detail, only the key ones. Most of the information is self-explanatory and we would recommend browsing the options and familiarising yourself with the data your company chooses to store.
Details
Some fields in this tab are mandatory for all records. This is where the core details including the assessment type, date, and asset details are stored.
Associations
An assessment should be associated with the asset it was carried out on. From this screen you can:
- See these direct links and open those records using the square boxes icon next to the description
- Where an association does not exist, associate via the ‘Add New Association’ button
Risks
The risks that have been identified in this assessment are displayed in a table. Any Uncontrolled risks will show first but you can filter and search the columns as required.
You can access more detail on a specific risk using the square boxes icon next to the ID, this will open the risk in a new tab.
You can also add a comment, control the risk and add actions and evidence using the options available in the last 4 columns.
Status
From this tab, you can mark the assessment as published once you have completed it.
Where new assessments of the same type are in place for the same asset you can mark this assessment as superseded and link it to the new assessment.
Step 5. Exit the record
If you have made any changes to the data, please be sure to ‘Save & Close’.
If the save options are greyed out this means you do have the required permissions to make amendments to this data, you can only view it. Your access is determined by the Super Users within your organisation, please contact them with any questions.
To exit without making any changes, click ‘Cancel’.
