SmartForms are checklists which will automatically be assigned to specific RAG grid rules. This allows you to make sure they are completed regularly and set a time period when they will show as out of date.
Before you start.
SmartForms are not enabled as standard in QUOODA®. If they are not available to you and you believe they are needed the QUOODA® Support Team can enable them at a Super Users request.
SmartForms are only available for checklists linked to property asset types. If the checklist is linked to a sub-asset or a non-asset entity type, it will not be able to utilise Smartforms
Before you can link a SmartForms to the RAG you need to have completed 4 steps which are explained on different help pages:
Step 1. Find the checklist you would like to link
Go to 'Settings' > 'Checklists' and choose the checklist template you want to map to your compliance rule.
Step 2. Edit the checklist template
- Click on the ‘Edit Checklist Template’ option
- Select the ‘Compliance’ tab
- Tick the rule(s) you would like to link this checklist to (Up to 6)
- Click ‘Save & Close’
TOP TIPS
- Linking a checklist to more than 1 compliance rule can be especially beneficial if the same checks are needed at different frequencies for different properties. For example, a ‘Weekly Window Washing’ and a ‘Quarterly Window Washing’ rule could be linked to one checklist template.
- If you remove a SmartForm link, any documents already uploaded to the RAG will remain in that compliance rule.
