Super Users can add new properties to their system in a few simple steps. Adding additional properties to the account is chargeable as per contractual agreements. If you have any questions regarding your QUOODA contract, please contact your account manager.
Step 1. Go to Assets > Properties
Step 2. Click the Add New button
Step 3. Add the relevant information about the property
When creating a new property there are lots of options available to you in the tabs across the top. However, the minimum mandatory requirement for adding a property is the following fields on the Identification tab:
- Display Name (we recommend you make this unique, so 2 different properties do not have the same display name in the system)
- Property Reference
- Address Line 1
We would highly recommend putting in all the relevant data to help organise your properties correctly.
Step 4. Save
This will create the new property but stay on the same screen so you can make further edits. You can click back on the browser to go back to the properties table. Saving the record will load several extra tabs unavailable until a property is created.
Step 5. Allowing users access to the property
Only Super Users will be able to see your new property unless you give other users data permission to do so. From the Security tab, you can give multiple users access to a property.
There are search, ordering and filter options available to assist you. Check the box beside the name of the users that need access. If sub-assets are used on your system you can decide if the users get access to these as well. Permissions are applied instantly, there is no need to save work done on this tab.
Step 6. Mapping the property to other modules
The options below are not mandatory but in most cases will be needed
- If you wish to monitor compliance against this new property you will need to add the property to the appropriate template and map it to applicable rules. We explain these steps on the templates and mapping help page (complete Step 5 onwards).
- If you have checklists that are applicable to this property you will need to complete Step 7 of the creating and amending checklist help page. If the new property is not mapped it will not show as an available asset to record the checklist against.
