This help page will show you how to upload new compliance documentation and also view current and historical documents.
You can do this via the RAG status grid or via the compliance summary. Both have the option to load the window shown on their help page.
Uploading a document
When you load the compliance documentation window, you can add the relevant information about the document.
- Valid From (mandatory) – The date the document is valid from
- Valid to - This will auto-populate based on the rule frequency. If the frequency for the rule is set to Ad-hoc you can manually add a 'Valid To' date
- Overdue Explanations – If the documentation is overdue, select a relevant option
- Comment – Add any comment that you deem necessary
Once this information is filled out, click the 'Attach Compliance Document' button and choose upload file and select the file from your computer. You will see the document in the compliance document area at the bottom of the window.
Click ‘Save’ to complete the upload of the document.
TOP TIPS
- If you have more than one document to upload, you can use supplementary documents. A document must be in place and saved against the compliance rule before this option is available in the display.
- If the document contains corrective actions, you can raise these as tasks so they are tracked and completed. A document must be in place and saved against the compliance rule before this option is available in the display.
View or download an existing document
To view or download the current document, you can use the icons next to the file in the compliance document area at the bottom of the window.
- Click the document icon to preview the document. This will display the document in a new tab within your browser.
- Click the 3-dot button to show the options to download or send the document via email.
The current document may have an overdue explanation and comment, you can see these for all documents via the 'Comments History' tab.
View or download historical documents
Historical documentation can be found in the document history tab. If there are multiple documents, you will see them ordered via expiry date, but you can use the column headers to reorder and filter the view.
- Click the magnify page icon to preview the document. This will display the document in a new tab within your browser.
- Click the downward-pointing arrow to download the document to your device.
The historical documents may have an overdue explanation and comment, you can see these for all documents via the 'Comments History' tab.
