Any corrective actions found in a compliance document can be raised in QUOODA® as tasks so they can be tracked and completed.
Step 1. Load the compliance window for the specific asset and document that you need to add corrective actions to
You can access the compliance screen via the RAG status by clicking on the corresponding square within the grid.
You can also load this from the compliance summary by clicking on the double square icon next to the corresponding rule.
Step 2. Check the ‘Are there corrective actions?’ box
This option will only be available after compliance documentation has been uploaded to the rule.
Step 3. Fill in the action details
There are 4 fields to complete for any corrective action.
- Comments - This is the description of the corrective action task (limit of 2,000 characters)
-
Assign to - Use the search icon to select the assignee(s) from the available options. If one of the options outlined below is not available to you, it is because the Super Users in your business have not enabled it:
- 'Assign to Entity' - assigns to everyone with access to the property, regardless of role, and can be disabled if your business does not require it.
'Assign to Group' - assigns to everyone in the group regardless of property access - it's essentially the opposite option to entity to 'provide flexibility and options to your business' - can be disabled if your business does not require it.
'Assign to Myself' and 'Assign to Users' are available where you want to provide specific responsibility for certain tasks.
- Priority - Pick from the pre-configured list available
- Due by - Pick a date that the task this action will create is due by
Step 4. Save the action
Once you are happy with the details you have added, click ‘Save’.
After you save, the fields will be blank again. If you have multiple corrective actions to add to this compliance document, repeat steps 3 and 4 as many times as required.
Step 5. Save and close the compliance window
Once you have added all of the required corrective actions, you need to return to the ‘Compliance Document’ section. Click ‘Save’ here to close the window and complete your changes.
This will create a task for each action added, and you can find out more about these on the viewing and updating tasks help page.
Step 6. Identifying compliance documents with corrective actions
Any compliance documents with corrective actions outstanding will display a white T symbol in the top right corner of the RAG Grid tile. This will remain until either:
- All corrective actions raised against the compliance document have been marked as completed
- A new compliance document supersedes that document. Corrective actions are only valid for the document that it's raised against.
To see the actions, you can click on the tile and go to the ‘Corrective Actions’ section. Click on the ‘Corrective Actions’ tab, and you will see a list of the actions and their status. You can use the double square button next to the Task ID to launch that task in a new tab, or if you know the Task ID, you can find it in the Tasks Module.
