It's quick and easy to archive a property. This means that the property and any associated tasks, risks, etc will be removed from the actively managed areas of the system.
Archived data can be retrieved at a later date but you may require the assistance of support to achieve this. Depending on the complexity of your requirement it can take some time to retrieve information from the archive. If you anticipate needing quick access to certain documents we would encourage users to download them before archiving.
Step 1. Go to Assets > Properties
Step 2. Find and open the property record
The properties that you have access to will be displayed on a table. You can search and filter the data table to find the one you need. Once you locate it, click on it to open the record.
Step 3. Go to the ‘Identification’ tab.
Step 4. Archive this asset
- Select ‘Yes’ to the ‘Archive this asset?’ field
- You will see a confirmation message, please read this message and either:
- Tap ‘Yes, Proceed’ if you wish to confirm and continue
- Tap ‘Cancel’ to abandon the archive
- Enter the archive date
- The system will then display the other entities which are associated with this property and will also be archived. You can unselect or reselect as appropriate
- Enter an archive reason (optional)
Step 5. Save the archive request
Click ‘Save’ to commit the request and archive the property. This can be found in the bottom right-hand corner of the identification tab.
