Once a property is archived in QUOODA® you would need to un-archive it to access any documents or linked records in the usual way. It is still possible to access attached documents via the File Store without unarchiving if you know where to look. This article explains how to access compliance documents in this way.
To complete the steps on this page, you need to know the AR reference number of the asset the documents relate to. We show how to find this in Steps 1 & 2. If you already know the AR number, please skip to Step 3.
Please note: Following the 2026.02 release updates of QUOODA, only Superusers will have access and the ability to search for documents within the file store.
Step 1. Go to Settings > Un-Archive
This will show you a list of all the archived entities.
Step 2. Filter to find the asset and take note of the AR number.
The archive will show you a limited amount of information on each record.
- Filter on the ‘Entity Name’ column to look for ‘Properties’.
- This will show a refined list of archived property details. you can filter again if needed but we were looking for ‘The Southern Shopping Centre’ which shows in the initial search to have a 'Reference ID' of AR31.
Step 3. Go to the file store and search for the AR number.
The File Store is accessed via the folder button on the top toolbar. Once the page loads, click the ‘Search’ button and look for the AR number of the property you are interested in.
Step 4. Select a folder
You may see multiple results from your search, especially if the property reference or address was amended during the time that the record was in use. Compliance documents for this asset will be in folders starting with one of the following paths:
- AssetProperties\AssetsProperties\AR##PropertyReference
- ComplianceDocuments\AssetsProperties\AR##PropertyReference
Click on the option you believe to be correct, this will expand and load that area of the folder structure on the left hand side. You can review the options in that are to see if the compliance rule name you are looking for is listed, if it is not you can try another search result.
Step 5. View files
Once you have found the compliance rule you are looking for, click 'View ## files'. Any files uploaded under that rule will be shown and you can click the downward pointing arrow to download the file to your local drive.
