QUOODA® has many sub asset types out of the box i.e. Lifts & Boiler, if you are looking for these, please see adding pre-existing sub asset. However, for your business you may need to add custom sub asset types. This article will show you how to add new sub-asset types to the system.
Step 1. Go to Settings > Custom Entities & Fields
You will see a selection of options, for this case will be adding a new ‘Asset Type’
Step 2. Click Add New Entity Type and complete the form:
- Entity Name – Name of the entity (singular)
- Entity Name (Plural) – Plural version of the name
- Entity Group – Set to ‘Assets’
- Manage As – Leave blank
- System Generated ID – Tick this box
- System Generated Prefix – Add a short prefix (e.g. ‘AL’ for Assets > Lifts, ‘AP’ for Assets > Plant & Equipment). Please ensure that this prefix is unique and not currently used on another entity.
- Display In Menu – Tick if you want it to appear under the ‘Assets’ menu
- Display in Mobile Devices – Leave unticked
Click Save to add the new entity.
Step 2. Add a tab/tabs
You can add additional tabs to capture the data you need. For example you should include a details page where you can capture key information as well as an associations tab so that you can associate your sub asset to your main asset if required. In this example we want to add a tab ‘Car Details’
- Click 'Tabs'
- Click 'Add new tab'
- Name the tab in the 'Tab Caption' field
- Click 'Save and Close'
NOTE: You will need to add an associations tab to link your sub-asset to its parent property. To do this, you will need to add an 'Association' question type, as seen below.
Step 3. Adding fields to the tab
- Click the tab you wish to add questions to
- Select ‘Manage Custom Fields’
- Select ‘Add New’
You will be presented with a choice of field types where you can pick the way you want your question to be answered. Each option has a small ‘i’ next to it, which is a tooltip that can be hovered over to provide more detail. TOP TIP: Where you have questions on this tab already, they will appear in the table. Select one to load the details and amend it. You will only be able to amend the question details, to change it to a different field type, you will need to delete and re-add the question.
Step 4. Select field type.
Select a field type a form will load. The question type you choose will dictate the options that are available on the form
Common options include:
Caption – The field name
Is Field Mandatory? – select yes if you would like the checklist to need an answer to this before it can be saved
Display on entity grid? – select yes if you want the answer to this question to be available as a filterable option on the checklist table
Tooltip – When completed this will show a small ‘i’ icon next to the field which will show the tooltip instructions you have entered if hovered over or clicked.
There are too many options and variables to cover on one help page, if you are unsure or have questions about anything when adding fields, please ask for support.
Once you are happy with the information you have entered, click ‘Save & Close’.
Step 5. Repeat this process for all the required fields
You can repeat the above steps as many times as required until all of the tabs and fields you require have been added.
Step 6. Ensure your new sub-asset type is added to the global menu.
Follow steps one and two on Enabling default sub-assets to ensure you can see your new sub-asset type under the assets drop-down.
Step 7. Ensure role permissions are in place
When you add a new sub-asset type you will need to ensure the role types that need access can:
- See it within the menu via role-based menu visibility
- View, edit, add or delete this asset type as required, via role security
Now that the sub-asset type has been enabled, you can add sub-assets to it.
