The steps below will allow Super Users to add a new sub-asset to your QUOODA® system and associate it with an asset.
Sub-assets can be of various types (Boilers, Escalators, Lifts, Employees) and are usually associated with an asset (property). Adding sub-assets will allow you to upload relevant documentation allowing greater accuracy with reporting and compliance.
Step 1. Open the sub-asset module
To add a new sub-asset to the system, hover the cursor over Assets within the menu (left-hand side of the screen) and click on the sub-asset type you wish to add to the system.
If the type of sub-asset you need is not available, please add a new sub-asset type first.
Step 2. Add new sub-asset
To add the sub-asset, click ’Add New +’. You can complete as many fields on this page as are relevant to you, but please note that the following are mandatory.
- Title (Details tab) - This will be the name of your sub-asset on the system
- Serial number (Details tab)
- Statutory Inspection (Inspection & Maintenance tab)
Step 3. Associate sub-asset to the main asset
You will be required to associate your new sub-asset with the main asset (property) for reporting purposes.
- Click on the ‘Associations’ tab
- Click ‘Add New Association’
- Select Entity type and click on ‘Properties’
- Find your asset using the search box and click on the property
- The entity type will display as Properties and your Asset title will appear under the description column
Step 4. Save the new sub-asset
There are 3 options available to do this:
- Save – This will create the new sub-asset but stay on the same screen so you can make further amendments
- Save & Close – This will create the new sub-asset and close the Edit sub-asset window
- Save & New – This will create the new sub-asset and open a new Add sub-asset window so you can create another sub-asset. This is particularly effective when adding multiple sub-assets.
Once saved, your newly created sub-asset(s) will appear in the grid below.
Step 5. Allowing users access to the property
Only Super Users will be able to see your new sub asset unless you give other users data permission to do so. From the Security tab, you can give multiple users access to a sub assets.
There are search, ordering and filter options available to assist you. Check the box beside the name of the users that need access. Permissions are applied instantly, there is no need to save work done on this tab.
Step 6. Map compliance
If you wish to monitor compliance against this new asset, you will need to add it to the appropriate template and map it to applicable rules. We explain these steps on the Sub Asset Compliance support page.
