Super Users can add new compliance rules to their system in a few simple steps.
Mapping these compliance rules to the assets that need them will be done at a separate stage.
Please note - If a Corrective action is created and the assigned user does not have access to the compliance rule, they will not see the task.
Step 1. Go to Settings > Common Data
Step 2. Select 'Compliance Requests Sub-Categories'
Step 3. Create the sub-category
- Click 'Add New'
- You need to select a document compliance category from the drop-down options
- You can then name your sub-category which will equate to the rule name on the RAG Status.
- Save your changes
The next step is to attribute specific attributes to the rule, for example, the importance and the rule frequency, for this we need to go to the compliance section in settings.
Step 4. Go to Settings > Compliance > Compliance
Step 5. Click ‘Add New’
Step 6. Apply settings and parameters to the rule.
The following fields are mandatory:
- Name
- Description - The description will be visible under the 'i' icon on the RAG Grid. This will help users see the information provided in this box.
The following fields are pre-populated, please ensure to change these to the appropriate options before saving:
- Document Category
- Document Sub-Category - Please select the sub-category you created in the earlier steps
- Classification
- Frequency
Step 7. Save
There are 3 options available, please select ‘Save’ at this point rather than the ‘Save and Close’ or ‘Save and New’ options.
Step 8. Set security access to this rule
Once saved, a ‘Security’ tab will be available on the rule and you will need to decide which roles within the system will be able to view this specific rule.
You can search for specific roles if you need to in the top right. You can either add roles one by one or use the select all option. If your list is reduced by a search the permission will only be applied to the displayed rules.
TOP TIP - You can add and remove access to all compliance roles at once. For instructions on how to do this please see Step 4 of the role security help page.
Step 9. Save
Now that all edits are complete you can either
- Save & Close – This will create the new rule and close the add new document compliance window
- Save & New – This will create the new rule and then open a fresh add new document compliance window so you can create another rule
