The steps below will allow Super Users to add a compliance template to your QUOODA® System and map compliance rules to an asset
Compliance templates contain a list of compliance rules which are applicable for certain standards, (e.g., Health & Safety Template, Fire Safety template, Staff training records) all of which can be added and amended by Super Users. As a Super User, you will be responsible for ensuring that the correct compliance rules are mapped to both the correct template and asset.
Step 1. Click on Settings > Compliance > Compliance Templates
Step 2. Add New or Select Document Compliance Template
If your compliance template has previously been created, select it within the table to open it and proceed to Step 4.
To add a new compliance template, click ’Add New +’.
Once the template module has opened, fill in the fields within the Details tab accordingly. Please note, that the below fields are mandatory:
- Template Name
- Compliance Type - The drop-down selection that you require will only display if you have created the corresponding compliance type. – We explain how to do this on the creating a RAG grid help page
Step 3. Save the new template
There are 3 options available to do this:
- Save – This will create the new document compliance template but stay on the same screen so you can make further amendments
- Save & Close – This will create the new document compliance template and close the add new document compliance template window
- Save & New – This will create the new document compliance template and then open a fresh Add document compliance template window so you can create another template. This is particularly effective when adding multiple document compliance templates as this will reduce clicking times.
Step 4. Add compliance rules to the template
If your compliance rules have previously been added to the template and it does not require amendments, please proceed to step 5.
Now that you have the required template, you will need to add the compliance rules to the template.

- Click on your template to amend
- Click on the ‘Compliance’ tab.
- Click ’Add Compliance’
- Search for your compliance rule and click to select
- Once the required rule(s) have been selected. Click ‘Save’
TOP TIP - You can reorder RAG grid rules to ensure those most crucial to your business are prioritised.
Step 5. Add Assets to the template
If your property has already been mapped, proceed to step 6.

With the compliance rules now in place, you can now map these to an asset.
Please note: If the asset is not available, please add it first - Adding a new property.
- Within the compliance template, click on the ‘Mapping‘ tab
- Click on ‘Add New Mapping’
- Select the entity type you wish to add, e.g. 'Properties'.
- Search for your property and click to select. (A tick on display will confirm selection was successful)
- Close this window once the property is selected. You will now return to the mapping tab and your property will display in the grid
TOP TIP – When you select a new property in this step all of the compliance rules you have within the template are automatically mapped. You would then need to uncheck all of those you don’t need. If you only need one (or a few) rules to be mapped, click one of those rules in the ‘Your compliance rules’ table before you complete this step. Only the highlighted rule will be mapped.
Step 6. Map rules to assets
- Click on the property that you are making compliance amendments to from the table on the right-hand side of the screen.
- Tick/untick the compliance rules that are applicable to that asset from the list on the left-hand side of the screen.
Step 7. Save mapping amendments
When compliance rules have been mapped, you can now save your updates.
There are 3 options available to do this:
- Save – This will save the compliance mapping amendments made within the template, but stay on the same screen so you can make further amendments (This is useful if amending compliance rules to multiple assets)
- Save & Close – This will save the compliance mapping amendments made within the template and close the compliance template window
- Save & New – This will save the compliance mapping amendments made within the template, then open a fresh Add new Document Compliance Template window
