Tasks are specific actions that can be assigned to a person, role, or building within QUOODA® for completion.
They can be generated from a number of entities within QUOODA® which include risks, checklists, incidents, adverse events and compliance corrective actions.
You will only see specific tasks in QUOODA® if any of the below is true:
- You created the task
- You are assigned the task (either directly, or to the task is assigned to a building you have permissions for, or to your role)
- You are a Super User, they can see all tasks
There are a number of ways to access the tasks relevant to you, these are.
- Via the tasks icon on the top menu bar
- Via the tasks widget on the cockpit dashboard
- Via the entity that it was created from
- The planner tool in the toolbar
On this help page, we are going to focus on option 1 as this is the most complete view of tasks. We will reference the other options where there are specific circumstances in which they would be useful.
Step 1. Select the tasks icon on the top toolbar
Step 2. Filter and search your view
This view will show you all the tasks that are relevant to you, even those that are completed.
The main tasks screen had a quick filter available to allow you to isolate tasks ‘assigned to me’, ‘assigned to my buildings’ and ‘created by me’.
If you would only like to see outstanding tasks you can use the ‘Extra Options’ button to look for outstanding tasks that are overdue, due today, due in 7 days and due in 31 days.
All tables in QUOODA® also have a set of standard options for searching and filtering which is explained in more detail on this help page.
TOP TIP – If you click through the tasks widget on the cockpit dashboard they will be pre-filtered on the status and date they are due.
Step 3. Open a task
Click on the task you wish to review to open it.
Step 4. Update the task
You can change and amend any details from this screen, most commonly you would update the following:
From the details tab, you can update the status of the task as seen above.
You can add comments and record the actions you have taken via the comments tab.
Any documents you obtain to support the actions taken can be uploaded via the documents tab. Attach file and select file.
You can add images to show evidence of the work done via the images tab. Attach file and select files
Step 5. Save your updates
Once you have made all the required updates you can save your changes
- Save – This will save the changes but stay on the same screen so you can make further edits
- Save & Close – This will save the changes and close the task
- Save & New – This will save the changes and then open a blank Add Task window so you can add a new task
