The reports section contains a range of useful options that come in different formats. This help page will provide a brief synopsis of each of the available reports.
Please Note: The reports section of QUOODA® has been designed to provide senior management level reporting across your whole QUOODA® estate. The data permissions you apply to each user account will not be enforced in this area (except the Advanced Dashboard). Any roles that have menu visibility of the reports option will be able to see data for all properties, managing agents and portfolios within this section. Because of this, some of these reports are restricted to Super Users only, as detailed in this article.
Step 1. Go to Reports within the toolbar
The reports button is the pie chart icon.
The available reports will be displayed in two columns.
- On the left is the dashboard reports. These will load in your browser and are interactive, so they can be filtered, and some elements can be drilled into for more detail.
- On the right are spreadsheet reports. Selecting these will request a copy of the report, and a link to download it will be emailed to you once it has been generated. This process will ensure that the generation of large reports does not impact application performance or data access for other users. The links are valid for 24 hours and can only be used by the account that created them. Once downloaded, you can use the standard spreadsheet functionality to interrogate and filter the data provided.
Dashboards
Advanced Dashboard
This will show you an overview of a number of areas, including document compliance, risk compliance and the property RAG. You can see more details on this report via the Advanced Dashboard help page. This is the only report where data permissions are applied, meaning that users will only be able to see data for assets they have access to.
Combined Dashboard
This dashboard will show data on compliance, risks and incidents in a variety of graphical and pictorial displays to provide some innovative and engaging ways of displaying your data. You can see more details on this report via the Combined Dashboard help page.
Incident Dashboard
This dashboard will only be available to clients using the adverse events module. It allows you to deep dive and compare multiple metrics and trends in relation to the different events reported across your estate. You can see more details on this report via the Incident Dashboard help page.
Compliance Dashboard
Allows you to see compliance data in a number of ways, including trends, overall performance and league tables that allow you to see which of your managing agents and portfolios are performing best. You can see more details on this report via the Compliance Dashboard help page.
Spreadsheet Reports
Archived or Deleted Properties (Access is limited to Superusers only)
This report shows which properties have been archived or deleted from QUOODA®. It will show the date this action was taken and by whom.
User Performance League Table (Access is limited to Superusers only)
This shows a count of properties, uncontrolled risks and out-of-date documents for every user on the system.
Monthly Quooda Statistics
This shows details of how many assets, checklists, incidents, and other items are live, archived and new in the last month. This report is updated at the start of each month and will show the totals at the end of the most recent calendar month.
Sub-Asset Compliance Mapping Report (Access is limited to Superusers only)
This spreadsheet shows a list of all sub-assets, their associated properties and a table of the compliance rules they are mapped to.
Full Compliance Report (Access is limited to Superusers only)
A table of information that has a row for every individual mapping between a compliance rule and an asset. Shows data like managing agent, portfolio, compliance type, property, validity dates and status.
The report displays sub-assets as their own entity, regardless of compliance mapping to a property on the system. This also includes non-property-dependent sub-assets such as employees and cars. The spreadsheet will contain a column displaying the sub asset ID number and a separate column containing the sub asset reference.
Checklist Statistics Report by User (Access is limited to Superusers only)
This shows you the number of published checklists for this year and the previous year. The information is sorted by the user who published the checklist. The spreadsheet also includes the checklist template name and key details from the asset record.
Checklist Statistics by Property (Access is limited to Superusers only)
This shows you the number of published checklists for this year and the previous year. The information is sorted by the asset the checklist was completed at. It will also show the sub asset information where applicable. The spreadsheet also includes key checklist data, details of any SmartForm links to compliance and key details from the property record.
