Granting users the ability to upload documents to the system is now controlled by the features in Role Security. Permissions to the File Store have been removed following the 2026.02 QUOODA® release updates.
You need to give the user’s role permission to save in the areas needed for them to complete their duties. This is completed in 2 parts: granting access to documents, and access to the feature where document upload is required.
The example below will show how to grant a user’s role the ability to view documentation and allow them to upload a new document to compliance.
Step 1. Go to Settings > Security
Step 2. Select the role you wish to grant access to
Use the drop-down at the top of the page to select the role you wish to amend security permissions for. In this example, we will use the role of Concierge.
Step 3. Navigate to the Documents Feature
Scroll down to the Documents feature. You will now be able to determine the permissions for this role. In this instance, we will grant both view and add permissions.
Step 4. Navigate to the feature type for document upload
Scroll to the feature(s) that the role will be required to upload documentation to. These can be features such as risks, tasks, and compliance for example. In this instance, we will grant the role access to view and upload documentation to the General H&S Compliance type grid by clicking "Can Read" and "Can Edit" within the permissions.
TOP TIPS
- Super Users automatically get access to all areas of the system, there is no need to set up specific access for them
- File store permissions are one element of a user's access, the others are linked below. We explain how these permissions work together on the user permissions overview page:
- Data permissions provide the user with permission to see information on different assets
- You can give permissions to view different modules and menu options by role via Role-based menu visibility
- If you are unsure if the change you have made is the correct one, you can impersonate a user within that role to test that they have the access that you are expecting
